A Day in the Life: Here's what your day might actually look like.
- Morning: The agent skill you built has already triaged overnight emails. You review, adjust, and send. Your executive starts their day without inbox anxiety.
- Mid-morning: A calendar conflict cascades into three rescheduling chains. You fix it, send your executive a quick Loom summary, and move on before they've noticed.
- Late morning: Your executive mentions expense reports are eating their time. You map the workflow, spin up a an automation that pulls receipts from Gmail and categorises them with AI, and ship it before lunch.
- Afternoon: Investor prep session. You use AI agent or automation you built to research and pull together a one-pager, walk them through it, and help them walk in confident.
- Later: You check the monitoring agent you set up for press mentions, draft a response to a flagged article, and add one more workflow to your backlog.
You consistently deliver more than a traditional EA because you're building AI systems, not just completing tasks.
What You'll Own:
- Calendar & Inbox Management Manage complex schedules, protect your executive's time, and handle all correspondence, using AI to triage, draft, and organize so that everything is handled before they ask.
- Communication & Stakeholder Management Represent your executive with professionalism and discretion. Draft in their voice, manage stakeholder relationships with emotional intelligence, and use AI to maintain quality and consistency at speed.
- Project & Travel Coordination End-to-end execution: coordination, follow-ups, logistics, and accountability tracking. Build AI systems that give your executive full visibility without them having to chase anything.
- Decision Support Prepare summaries, briefing documents, and structured research. Don't just gather information. Synthesize it into something your executive can act on, and use AI to do in an hour what used to take a day.
- AI-Powered Execution Spot inefficient workflows and automate them. Build agents, automations, and AI-assisted tools that reduce manual effort and improve consistency. Monitor what you've deployed, iterate, and keep improving over time.
- Personal Support Gifts, reservations, errands, and life administration, keeping your executive focused on the work that only they can do.
Ideal Candidate Profile.
You are:
- Highly organized, proactive, and resourceful. You stay ahead of what's needed.
- A strong communicator with sound judgement and a high degree of discretion.
- Comfortable working in fast-paced, evolving environments with minimal hand-holding.
- Naturally inclined to optimize, automate, and improve. When you see a better way, you build it.
- Passionate and hands-on with AI tools and new technology. Not just aware of it, but actively using and building with it.
- Someone who takes full ownership and follows through without being chased.
Minimum Requirements.
EA Foundation:
- At least 2 years of experience as an Executive Assistant supporting senior leaders.
- Near-native written and spoken English.
- Remote work experience preferred.
- Available to work US time zones.
AI Capability (Non-Negotiable) Demonstrated, hands-on experience using AI tools in practice. You should be able to point to concrete examples of:
- Workflow automations you've built using tools like Zapier, Make, or n8n.
- Custom GPTs, AI agents, or skills you've created and actively use.
- Deeper work with AI platforms like Claude or ChatGPT: structured, multi-step prompting, not just conversation.
- Measurable improvements you've delivered for an executive or team using AI.
"I use AI daily" won't move your application forward. Be ready to describe specific things you've built: what the problem was, what you created, and what changed.
